IMPORTANT: You are required to select the proper Indian Mission (Consulate), dictated by your state of permanent residence. Swift Passport Services is headquartered in Chicago, however please determine the Indian Mission which corresponds to your permanent address before you begin the application process (see list below.) 

Many consulates will delay or reject the processing o a visa if the permanent address and the present address listed on the application do not match the address on your state I.D. or driver's license.  Once your application is submitted and printed, please note that there is a signature box at the top of page 1 and a signature line at the bottom of page 2, the consulate requires BOTH signatures.  The consulate does not accept applications with strike outs or cross outs, so please do not write on the application.  Your name must appear on the application EXACTLY as it does on your passport

Proof of residential address in the United States: Clear copy of applicant's driver's license, utility bill, lease agreement, or other major utility bill. Address and name on the document must match address and name on the visa application form. Consulates will NOT accept credit/bank statements, or cell phone bills as proof of address.

1 Passport Type Photo

Photo Requirements: Photos must have been taken in the last 6 months, be 2 inches by 2 inches in size, and have white background with no patterns or background objects visible. Photo must be in color and be free of glare. Ears should be visible, and you must be facing forward. Dark glasses, headbands, and spaghetti straps are not permitted. Feel free to smile!

  • Option 1: email a photo to Swift Passport Services photos@swiftpassport.com using the following guidelines. Swift Passport will size and print your passport photos for a nominal fee of $15.
    • Photo file needs to be attached to the email as a .jpeg file.  Other file formats cannot be properly formatted
    • Have someone else take the picture of you; please do not send pictures you take of yourself.
    • Photos need to be taken with a digital camera, phone camera photos will be of insufficient quality
    • Please do not attempt to resize or format the photo in any way
  • Option 2: Obtain a passport photo from a passport photo service (Walgreens, CVS, FedEx, etc.). Include photo in your package to Swift Passport Services.

Letter of Invitation from Company in India

A letter from the company which you are conducting business with in India on company letterhead.  Must be signed by the management in charge of the area that the applicant intends to be in contact with, informing:

  • Job position and job description of the contact person in India
  • Assignment description and information about the end-purpose of the intended activities in India (sales, purchases, coordination, auditing, etc.);
  • Date(s) and place(s) of the meetings and information on periodicity, average length and assignment description of future trips, if any
  • Financial and moral responsibility for the trip
  • Needs to be on Company Letterhead with India address included in the Letterhead, NOT in the body of the letter.  Address on Letter head needs to match the address on application
  • Letter needs to specify length and validity of visa being requested

Company Letter of Intent

  • Name and Title of the visa applicant must be included
  • Provide a detailed description of the business which will be performed in India including a detailed timeline
  • Letter needs to specify length and validity of visa being requested
  • Most India Consulates require an original signature on this letter.  If this is difficult for you to obtain, please contact Swift to determine next steps

1 Letter of Authorization

Birth Certificate

Birth Certificates are currently not required, however this can change unexpectedly.  Swift Passport recommends submitting Birth Certificates with all applications to avoid any delays.

Required Clearance

  • Ministry of Home Affairs Clearance: A clearance letter from the Ministry of Home Affairs.
  • Ministry of External Affairs Clearance: A clearance letter from the Ministry of External Affairs.
  • State Government/UT Clearance: A clearance letter from the State Government/Union Territories.
  • Nodal Ministry Clearance: A clearance letter from the Ministry that holds jurisdiction over the conference. Example, an education conference needs a clearance letter from the Ministry of Education. 7 Special Instructions: Conference Visas may be issued to delegates if they are able to produce an invitation to a conference/seminar/workshop being organized in India by a Ministry or Department of the Government of India, State Governments, Public Sector Undertakings, Central Educational Institutions, Public Funded University or an organization owned and controlled by the Government of India or State Government, UN or its specialized agencies and reputed NGOs. To attend a conference/seminar/workshop being organized in India by a private company, applicants should request a business visa. In this case a 3 month single entry business visa will generally be granted.

  • Copy of Birth Certificate: Please DO NOT send original birth certificates- we cannot take responsibility for original documents
    • US Born: Only birth certificates are accepted for applicants born in the US
    • Indian Born: Those born in ndia can use their birth certificate, old Indian passport, or school leaving cerificate
    • All Others: Thise not born in the US or India should submit a birth certificate or any government document from the country of origin that has parents name, date of birth and nationality.  Must be translated into English and Notarized.
  • Both Parents Signatures: Sign on Second Page of application
  • Proof of Residence: Send copy of valid state ID, or major utility bill such as gas, water, electric.
  • Photocopy of Both Parents Passport Information Page

  • Applicants with Dual Citizenship
    If you have dual citizenship in the U.S. and another country, you MUST apply for an India Visa with your U.S. Passport. The ONLY exception to this is if you are a dual citizen with the U.S. and Pakistan; or if you were ever a citizen of Pakistan you must apply for an India visa on a Pakistani Passport. The only exempt former Pakistani citizens are those applicants that can prove that they have renounced their Pakistani citizenship with a copy of their renunciation certificate. Loss of Pakistani passport or an old, expired Pakistani passport is not considered proof of renunciation of Pakistani citizenship.

Entry Visas Applicants:

All non-Indian applicants who are children, grandchildren, or spouses of people of Indian origin must provide proof of relation to person of Indian origin.

  • If one or both of applicant's parent's is of Indian origin, applicant needs to provide a birth certificate along with a copy of their parent's Indian passport(s), or U.S. Naturalization certificate that shows previous nationality is Indian.
  • If applicant is non-Indian, but their spouse is, applicant must provide a marriage certificate and a copy of spouse's Indian passport or Naturalization Certificate that shows previous nationality is Indian.
  • If one or both of applicant's grandparents are of Indian origin, applicant must provide a copy of their grandparent's passport or a government issued document showing that their grandparents held Indian citizenship, and applicant's parent's birth certificate. This will show the non-Indian grandchild's relationship to the person who has held Indian Nationality.
